Get shipments ready for an externally arranged collection
Prepare confirmed parcels while arranging pickup outside EasyInvio; scheduling is not yet built.
This guide is for dispatchers preparing parcels for a driver. It explains EasyInvio.com's preparation tools and what must still be arranged with the carrier or authorised shipping partner.
Current availability
EasyInvio does not offer dashboard courier pickup scheduling, cancellation, time-slot selection or a native pickup-booking API. There is no supported button that books a vehicle at your warehouse dock.
A label does not prove that collection is arranged. A recorded dispatch or tracking event is not a pickup reservation. Arrange collection through the carrier, partner account or agreed collection contract.
Manifest & Labels is a workspace shipment list. It is not a carrier-accepted end-of-day closeout, driver handover receipt or universally valid carrier manifest.
Arrange collection outside EasyInvio
- Identify the carrier and service on each confirmed booking.
- Check its collection arrangement with the carrier or authorised partner.
- Confirm the warehouse address, contact, access instructions and collection window.
- Provide package count, packed weights, dimensions and special handling information requested by that service.
- Keep the external collection reference and confirmation available to dispatch staff.
- Check cut-off times and collection charges directly with the carrier.
With several carriers, do not assume one driver accepts every label. Separate dispatch groups according to the actual agreement. Arrange return collection explicitly if required.
Build the day's dispatch checklist
Find confirmed shipments in Manifest & Labels. Review status and reference. Exclude drafts, unprepared imports, rejected purchases and bookings with unclear label outcomes.
Use available carrier label downloads or PDF print bundles for selected confirmed shipments. The document workflow includes documents actually available from supported bookings; it must not make an unconfirmed purchase look printable.
For multi-box shipments, confirm all package labels and tracking numbers. Match the right label to each box and its contents. Never attach the same package label to two different boxes.
For international goods, check reviewed commercial documentation and required postal forms. Keep the invoice or booking reference with the shipment record.
Before the driver arrives
- Match the physical package count to the confirmed labels.
- Check destination, service and tracking reference on each label.
- Position labels for scanning and remove obsolete labels from reused packaging.
- Separate parcels by carrier and agreed collection group.
- Keep restricted and special-handling goods within the actual service agreement; a label alone does not prove acceptance.
- Have the external confirmation and warehouse contact ready.
A downloaded PDF proves neither successful printing nor driver acceptance. Inspect printed labels and count the physical packages.
If the driver does not arrive
Check the external confirmation, address, date and agreed window. Ask the carrier whether collection is confirmed, delayed, cancelled or affected by capacity. Keep its reference and response.
Tell EasyInvio support that the problem concerns an externally arranged collection. Provide the carrier, collection reference, warehouse area and affected booking references. Do not send credentials or full customer addresses.
Do not purchase duplicate labels merely because a driver is late. Existing labels may remain usable, subject to carrier terms. Ask about supported cancellation or rebooking before changing a booking.
If no collection or movement scan appears
Driver handover can precede the first electronic scan. Check carrier tracking and handover evidence before concluding that the parcel is lost or the app failed.
EasyInvio records supported tracking exceptions after a confirmed booking. It does not independently detect every missed vehicle visit, capacity delay or missing collection reservation, and does not automatically create incidents for all such events.
Internal label failures and carrier-network exceptions are separate cases. Report an unrepresented collection problem to support rather than entering false tracking updates.
What can be finalised in the current app
Review shipment records, select confirmed documents, download available print bundles and use CSV export to assist your reconciliation. Keep a record of the physical handover and which carrier accepted each package.
There is no native Close daily manifest operation sending an end-of-day acceptance record to every carrier. Obtain any required carrier manifest or scan form through that carrier's authorised process. An EasyInvio list or receipt does not replace it.
Genuine tracking events subsequently update supported workspace progress. Keep the handover record separately in case package count or first scan is disputed.
Capabilities needing a separate product release
In-app pickup availability, warehouse collection booking, rescheduling, capacity responses, collection-specific exception detection and carrier-specific manifest closeout are not current features. This guide explains the present workflow rather than announcing them as available.
